OBJECTIVE OF THE JOB 

The interim Executive Coordinator is a position within the People and Purpose (P&P) team, working directly with the Managing Board. The purpose of the position is to implement and maintain systems for the smooth functioning of the Managing Board and the Supervisory Board. The interim Executive Coordinator does this by providing expert organisational and administrative support to the Managing Board, Management Team and the Supervisory Board. 

The interim Executive Coordinator reports directly to the Managing Board and works closely with the Executive Assistant on ensuring the effective functioning of the Managing Board, Management Team and the Supervisory Board.  

RESULT AREAS 

  •  Support to the Managing Board 
  • Assists the Managing Board with all external and internal communications including but not limited to: drafting correspondence, maintaining records, signing  contracts and compiling necessary documents, research and presentations for external and internal meetings; 
  • Performs various research and analytical tasks on behalf of the Managing Board regarding operational issues and initiatives. May administer a particular project and compile results or findings from multiple departments reporting to the Managing Board; 
  • Supports the Managing Board in following up with and implementing activities emerging from Management Team meetings; 
  • Briefs the Managing Board for external meetings, prepares talking points and key questions when appropriate; 
  • Debriefs with the Managing Board after external meetings and shares information with staff and through Teams as appropriate; 
  • Supports the Managing Board in speech preparation; 
  • Monitors and tracks the Managing Board and Supervisory Board budgets; 
  • Tracks and supports the Managing Board’s engagement in media, including social media; 
  • Supports communication within and between the Managing Board, Management Team and Supervisory Board; 
  • Maintains a strong awareness of executive relationships, internal and external and support the Managing Board in managing these relationships.   

Result: The Managing Board’s coordination and administrative needs are met with a high level of efficiency and accuracy to ensure the Managing Board can function at a sophisticated level.   

  1. Support to the Management Team 
  • Supports the coordination of Management Team meetings, including logistical support as needed.  
  • Attends Management Team meetings and support the Management Team with planning, preparing agendas, preparing documents for discussion, taking minutes, keeping track of action items and monitoring documentation in need of MT approval; 
  • Manages sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the operations of the organisation, the working of the Supervisory Board and the Management Team. 

Result: The Management Team’s administrative needs are met with a high level of efficiency and accuracy to ensure the Management Team can function at a sophisticated level.   

  1. Support to the Supervisory Board 
  • Attends Supervisory Board meetings and support the Supervisory Board with planning, preparing agendas, preparing documents for discussion, taking minutes and keeping track of action items; 
  • Coordinates the Supervisory Board’s ongoing tasks and activities including but not limited to organising nomination and election processes, tracking validity of policies and procedures, coordinating induction procedures and monitoring/documenting SB approvals; 
  • Supports compliance with all legal requirements related to the Supervisory Board and preparations for re-accreditation as a Dutch foundation; 
  • Acts as a liaison between staff and members of the Supervisory Board. 

Result: The Supervisory Board’s coordination and administrative needs are met with a high level of efficiency and accuracy to ensure the Supervisory Board can function at a sophisticated level.   

KNOWLEDGE AND SKILLS 

  • Strong commitment to Mama Cash’s vision, mission and values including intersectional feminism, social and environmental justice, and the rights of intersex people, trans people, girls and women;  
  • University-level degree or equivalent experience in administrative support work in relevant professional areas; 
  • Minimum of five years relevant working experience;  
  • Knowledge of executive level administration practices and systems, including working with a not-for-profit Board; 
  • Excellent organisational, analytical, planning, time-management and problem-solving skills, with demonstrated ability to manage and meet multiple deadlines, and develop creative solutions; 
  • Excellent critical thinking, facilitation, and interpersonal skills; 
  • Strong proficiency in English and Dutch, verbal and written; 
  • Communications, negotiation and interpersonal skills with the ability to interact with people from a wide diversity of backgrounds and cultures; 
  • Ability to work independently and effectively in a virtual, remote environment as well as in-person, and build strong relationships across the organisation and with external partners; 
  • High level of proficiency with computers, databases, and other technology; 
  • Demonstrated ability to maintain confidentiality and exercise discretion; 
  • Lived experience of resisting injustice and different forms of systemic oppression including but not limited to sexism, racism, homo-antagonism, trans-antagonism, classism and/or disablism, and their intersections.  

We Offer:  

We offer you a full-time (32 hours) position in an engaging and professional work environment in an international foundation committed to diversity, solidarity, peace and justice. The monthly salary for this position is depends upon experience and is based on CAO Welzijn scale 9, full-time salary (min.) 3.015.- (max.) 3.500.- plus 8% holiday allowance, 13th month salary and pension plan. This position will be based in our centrally located Amsterdam office.
